2. What information I collect

The information I collect depends on how you use my services. It may include:

  • Contact details: your name, email address, phone number and address where needed.

  • Health information: your medical history, symptoms, medication, allergies and details you share in your health questionnaire.

  • Treatment records: signed consent forms, clinical notes, treatments provided and relevant progress.

  • Appointment information: bookings and messages about your care.

  • Payment and accounting information: payments and invoices.

  • Newsletter details: your email address if you choose to receive practice news and updates.

  • Website information: technical data and cookie information, depending on your cookie preferences.

3. Why I need your information

Your information helps me run my practice and provide safe, appropriate care.

Before treatment, I'll ask you to complete and sign a health questionnaire and consent form. This helps me understand your health, identify possible risks or contraindications, and decide whether acupuncture or Chinese herbal medicine is suitable for you.

If I don't have enough information to assess your suitability safely, I may be unable to offer treatment.

I also use relevant information to manage appointments, keep accurate clinical records, respond to your questions, process payments and meet applicable professional or legal requirements.

If you sign up for my newsletter, I'll use your email address to send practice news and updates. You can unsubscribe at any time.

4. Your health information and safe treatment

Your health and wellbeing are important to me. Before treatment, I ask about your medical history so I can assess whether acupuncture or Chinese herbal medicine is appropriate and identify any possible risks.

This is part of my commitment to safe practice and follows the Acupuncture Society's Code of Safe Practice.

I keep your health information confidential and protect it in accordance with applicable data protection law. I use it for appropriate purposes connected with your care and the running of my practice.

Data protection law also requires me to have a lawful basis for using personal information and an additional legal condition for handling sensitive health information. These need to be identified and documented for my practice.

Private reminder before publishing: confirm the specific UK GDPR Article 6 lawful basis and Article 9 condition that apply to your practice. The Acupuncture Society's code explains why you need a medical history, but it does not settle these separate data protection requirements.

5. Services I use

I use the following services to help manage my practice:

  • Cliniko for appointments and clinical records.

  • Tuta for email and newsletters.

  • Squarespace for my website.

  • Google Analytics and Squarespace Analytics for website statistics.

  • SumUp for payment processing.

  • QuickBooks for invoices and accounting.

  • Starling for business banking.

These providers may process relevant information to provide their services. Some may use service providers based outside the UK.

Cliniko states that data for accounts created in the UK is stored in the UK, although some of its service providers may be based overseas, including in the US and Australia.

You can read more in Cliniko's Privacy Policy and subprocessor information.

6. Confidentiality and keeping your information safe

I treat your personal and health information as confidential.

My clinical records are stored in password-protected Cliniko, and only I have access to them. I take care to protect the information you share with me and use it only for appropriate purposes.

I do not routinely share client information with other healthcare practitioners. Information may be processed by the service providers listed above where needed to run my practice. I may also share information where required or permitted by law.

I do not sell your personal information.

7. How long I keep your records

I keep clinical records for seven years from the date you sign the treatment consent and personal-information storage form. After this period, I delete the records unless a legal requirement means particular information must be kept for longer.

Financial and accounting records may need to be kept for different periods to meet legal requirements.

8. Your privacy rights

You have rights over your personal information under data protection law. Depending on the circumstances, you may be able to:

  • Ask to see the information I hold about you.

  • Ask me to correct inaccurate information.

  • Ask for information to be deleted or its use restricted.

  • Object to certain uses of your information.

  • Request a copy of certain information.

  • Withdraw consent where I rely on consent to use your information.

These rights have some legal limits. For example, I may need to keep certain records even if you ask me to delete them.

If you have a question or would like to exercise your rights, please email acupuncture@healingpoint.uk.

You can also raise a concern with the UK's Information Commissioner's Office (ICO).

9. Newsletters

If you choose to sign up for my newsletter, I'll use your email address to send practice news and updates. I use Tuta to manage newsletter emails.

You can unsubscribe at any time using the unsubscribe option, where available, or by emailing me directly.

Unsubscribing won't affect messages needed to manage your appointments or treatment.
